Day to day
Adding and Managing Clients
Adding new clients and keeping their contact details up to date.
The Clients section is your contact database. Every person who books with your studio is stored here, with their contact details, preferences, and full visit history.
Keeping a tidy client list means you can pull up anyone in seconds, see exactly how many times they've visited, and reach out directly without hunting through old messages or paper records. Without it, you're relying on memory or scattered notes — and things slip through the cracks.
Adding a New Client
From the Clients Page
- Go to Clients in the left sidebar.
- Click Add (top right).
- Fill in:
- First Name and Last Name
- Email address
- Phone number
- SMS marketing consent — tick this if the client has agreed to receive marketing messages from you
- Click Add Client.
All four fields (first name, last name, email, and phone) are required when adding a client manually.
When Creating an Appointment
You can also create a new client directly from the appointment form:
- In the Client field, type a name or email.
- If no match is found, an option to Create New Client appears.
- Enter their details and confirm.
Searching and Sorting
- Go to Clients.
- Use the search bar at the top.
- Type a name, email address, or phone number. Results filter as you type.
The table supports sorting by Name, Contact, Appointments, and Preferences. On mobile, use the Sort dropdown to pick a sort order.
Reading the Client List
Each row in the table shows:
| Column | What it contains |
|---|---|
| Name | Full name (or email/phone if no name) |
| Contact | Email and phone number |
| Appointments | Total number of appointments on record |
| Created | Date the client was added |
| Preferences | Badges showing marketing and confirmation consent |
The Preferences column shows two badges per client: one for SMS marketing consent and one for appointment confirmation reminders.
Opening a Client Profile
Click any client row to open their full profile. From there you can edit their details, view appointment history, and send messages.
See Client Profiles and Visit History for a full walkthrough of what's on the profile page.
Editing Client Information
Client details are edited directly on the profile page — fields are inline-editable. When you make a change, Save and Undo buttons appear in the header. Click Save to apply, or Undo to revert all pending changes.
Deleting a Client
- Open the client's profile.
- Scroll to the bottom and click Delete client.
- Confirm the deletion in the dialog that appears.
Deleting a client removes their contact record. Past appointment history linked to that client is not deleted.
