Closing a Location or Cancelling Your Subscription

How to stop paying for BukaTime, what happens to your studio and data afterwards, and who to ask when you want to close one location.

Most of this help center is about getting started. This page is about the other end: you want to stop paying, or you are shutting one location and keeping the rest. Here is what the app lets you do yourself, what it does not, and what happens to your data either way.

Who this is for: the billing contact. Only the billing contact sees Change plan and Manage subscription on a studio, and the subscription belongs to their payment account. Everyone else sees a line saying so.


Cancelling Your Subscription

BukaTime has no Cancel button of its own. Payments run through Stripe, and the way out is Stripe's billing page, opened from the app:

  1. Go to Settings → Billing & studios.
  2. In the summary bar at the top, click Manage payment method.
  3. Stripe's page opens in the same tab. What you can do there is set by Stripe's page for BukaTime, not by the app. It is where you update your card and read receipts, and it is where a subscription can be ended if that option is switched on.

If you do not see a cancel option on Stripe's page, do not keep looking. Ask us instead, using the steps under When You Need Us to Do It below. A cancellation request is a normal support ticket.

The Manage payment method button only appears when your studio pays through Stripe. If it is missing, use Contact Support.

When the cancellation takes effect

  • A subscription that is set to end at the close of the billing period keeps working until that date.
  • Once Stripe reports the subscription as ended, the studio is paused straight away. There is no grace period after that point.

Ending a subscription does not delete anything. See the next section.


What Happens to Your Studio After Cancelling

The studio is paused, not removed. On Settings → Billing & studios, the studio's card shows a Paused tag with Subscription canceled beside it (a lapsed trial reads Trial ended, and a failed payment reads Payment failed), and this line:

Add a payment method to resume. Your data is untouched.

That line is accurate: your clients, appointments, services and team stay exactly as they were. What stops is the working of the studio, so plan for the pause before you cancel:

  • The app stops working for that studio: nobody on your team can schedule, message or change anything in it until it is resumed.
  • Settle anything time-sensitive first, such as appointments booked for the days after you cancel.

Coming back

Click Resume subscription on the paused studio's card. It takes you to a Stripe checkout page where you add a payment method. When the checkout completes, the studio becomes active again with its data as you left it.

Stripe's billing page (the Manage payment method button) cannot bring a paused studio back on its own, because a cancelled subscription is no longer there to manage. Use Resume subscription.

Getting your data out

There is no export button in the app today. If you want a copy of your clients and history before you leave, ask through Contact Support and say so in the message.

To have your data erased once you have gone, send a request through Contact Support with your account email and business name so we can confirm it is you.


Closing One Location

A studio owner cannot close, archive or delete a single location from the app. There is no control for it on Billing & studios, in Change plan, or anywhere in Studio settings. Only BukaTime's own team can remove a studio.

If you run several locations and one is shutting:

  1. Tell us which location and the last day it will take bookings, through Contact Support.
  2. Before that day, move or cancel the appointments still booked there. See Creating and Managing Appointments.
  3. Take the studio's team off billing if you want to cut the cost sooner: deactivating a provider, or lowering the seat count under Change plan, changes what that location costs. See Billing for Staff Activation and Managing Your Subscription.

Each location has its own subscription and its own card on Billing & studios, so closing one does not touch the others.


When You Need Us to Do It

  1. Click Contact Support at the bottom of the left sidebar.
  2. Choose Billing & subscription as the Topic.
  3. In Message, say what you want: cancel the subscription, close a named location, or send you your data.
  4. Click Send request.

We reply to the email on your account, and the request already carries your studio's name, so you do not need to look up an ID.


Common Mistakes

  • Looking for a Cancel button in the app. There is not one. Use Manage payment method, or Contact Support.
  • Cancelling to "pause for the winter" and expecting the studio to keep running. A cancelled studio is paused for everyone, your team included.
  • Assuming cancelling erases your data. It does not. To have it erased, ask through Contact Support.
  • Trying to close one location by cancelling. Each location has its own subscription, and cancelling one does not remove it from your list.

Can someone other than the billing contact cancel? They can ask, but they will not see Change plan or Manage subscription. Ask the billing contact, or ask us.
