Day to day
Emailing Your Clients a Promotion
Write an email promotion, see exactly who it reaches, and send it to clients who have visited you recently.
Marketing lets you email a promotion, an offer or a set of open slots to clients who have visited you lately. It is email only. Text promotions are not available, so nothing you send here goes out as a text message. It works on every plan with no add-on.
Every email carries an unsubscribe link, shows your studio's address and has a Book now button added for you.
Who Can Write and Who Can Send
Studio admins and owners see Marketing in the sidebar and can do everything. Staff only see it when you turn on Allow staff to access Marketing in your Booking settings. Staff can then view campaigns and write drafts, but only an admin can send. A manager can prepare a campaign and leave it for you to review.
If someone without access opens the page, they see "Marketing is available to studio admins."
Before Your First Send
Two things have to be in place, and the review screen tells you if either is missing.
- Your street address. Every marketing email must show it. Add it under Studio → General.
- The marketing terms. The first time you write a campaign you see a short notice: your studio is the sender, emails go to past clients with an unsubscribe link, anyone who unsubscribes is never mailed again, and you are responsible for what you send. An admin presses I accept for followed by your studio name. You only do this once.
Writing a Campaign
Press New campaign, then fill in:
- Campaign name (only you see this), so you can find it later.
- Subject, one line.
- Message. Leave a blank line between paragraphs.
- Clients who visited in the last: 3, 6, 12 or 24 months.
Save draft keeps it so you can come back. Review saves it and counts who it will reach. Open any campaign in the list to continue a draft or see how a sent one went.
Who Receives It
On Review and send, BukaTime shows the count before anything goes out. Send to followed by a number is the people who will get it. Clients are left out, and counted, when they:
- have no email address;
- unsubscribed from your promotions;
- got a promotion in the last 7 days, from any campaign;
- share an email with another client, in which case that address gets one copy.
You cannot override this list. There is no way to include someone who unsubscribed.
Sending
Under the count you see where replies go: the email of your studio admin. If no admin has an email on file, the screen warns that replies will go unanswered. Clients with a phone number who have not said yes to texts also get a link in the email to sign up for texts. They choose for themselves; nothing is switched on for them.
To send, type your studio's name where asked, to confirm you are sending as the studio, then press Send to and the count. Emails go out over the next few minutes. Press Back to change the message first.
The list shows each campaign's status (draft, sending, sent, canceled or failed), the date sent and how many clients it reached. Open a sent campaign to see how many were withheld.
Limits
- 4 campaigns per 30 days for your studio. At the limit, New campaign is turned off and the page says so.
- 1 promotion per client every 7 days, however many campaigns you send.
- One campaign sends at a time. If another is still going, wait for it to finish.
When a Client Unsubscribes
The unsubscribe link in every email works with one tap and takes effect at once. The client is not mailed a promotion again from your studio. Their appointment reminders and receipts are not affected.
If Send Is Greyed Out
The text beside the button says why. Usual causes: the terms are not accepted yet, your street address is missing, you are signed in as staff, or the name you typed does not match your studio's name.
