Day to day
Reports
Run a ready-made report or build your own, see who can open Reports, wait out a repeat run, and download results as CSV, Excel or PDF.
Reports turn your appointments and clients into files you can open in a spreadsheet or print: how last month went, which services sell, who stopped coming. You ask for a report, it is prepared in the background, and you download it when it is ready.
For the numbers you glance at every day, use the Dashboard instead. See Dashboard and Analytics.
Who can open Reports
Click Reports in the sidebar.
- Admins always have Reports, and see every report.
- Providers do not see Reports until an Admin turns it on. In Studio settings, under Staff visibility, tick Allow staff to access Reports (off by default).
- A provider who is let in sees only their own rows. Their reports cover their own appointments, and a report that lists them in a team table shows only their line.
- Clients, Client retention and Client list export, and the ready-made reports built on them, list your clients and their contact details. They are for Admins only, so a provider never sees them.
Anyone without access who opens the page sees "Reports are available to studio admins."
Ready-made reports
Ready-made is the page's first tab. Pick one of the cards and click Run report. Each card already has its dates and settings filled in, so there is nothing else to choose. The bar under the cards tells you what will run.
| Group | Card | What it gives you |
|---|---|---|
| Bookings | Last month at a glance | Completion and no-show rates |
| Bookings | Cancellations & no-shows | Last 30 days, with who cancelled |
| Bookings | Every appointment | Last month, one row each |
| Bookings | Online vs staff bookings | Last 90 days, by how they booked |
| Team | Provider scorecard | Last month, per provider |
| Team | Top services | Last 90 days, most booked first |
| Clients | Who never came back | One visit, 60+ days ago |
| Clients | Lapsed regulars | 2+ visits, none in 90+ days |
| Clients | Came only twice | Exactly two visits |
| Clients | Retention this year | New vs returning, by month |
| Clients | Full client list | Everything on every profile |
A card you are not allowed to run is not shown. Once you pick a card, Recent reports below narrows to that report's runs. The sliders button (tooltip Adjust in Build your own) on the picked card opens it in the builder so you can change its dates or filters, and the × (Clear) drops the pick.
Build your own
Switch to Build your own to set a report up yourself. Choose the Report, then fill in only the fields that report takes.
| Report | What it shows |
|---|---|
| Appointment summary | Bookings per day with completion, cancellation and no-show rates |
| Appointments | Every appointment in the range: client, services, provider, status and value. Cancelled ones add who cancelled and why |
| Staff performance | Per provider: bookings, completed, cancellations, no-shows, booked hours and value |
| Service performance | Per service: bookings, cancellations, booked value, average price and hours |
| Client retention | New and returning clients by month, and how many rebooked within 60 days |
| Clients | Who never came back, who came a set number of times, and who has lapsed |
| Client list export | Every client and everything on their profile, with visit counts and dates |
The fields you may see:
- Dates — a start and end, or a quick pick: This month, Last month, 90 days, This year.
- Filters — All providers, All services (or a whole category), and Any status. Pick Cancelled & no-shows to list only lost appointments, which swaps in the value those bookings had.
- Who and Threshold — for Clients only. Never came back (days since their only visit), Came exactly (a number of visits) and Not back for a while (days since their last visit). Pick a preset or Custom…. A visit counts when it has happened and was not cancelled, declined or a no-show.
Client retention looks at rebooking within 60 days, so recent months read low: a visit under 60 days old only counts as rebooked if the client has already booked again.
Running a report
Click Run report. The new run appears at the top of Recent reports and shows Preparing until it is Ready. The row updates on its own; you can leave the page open or come back later.
If a run Failed, the row says why. Too long or too many rows: try a shorter date range. Stopped before it finished: run it again.
Running the same report twice
An identical report, with the same dates and filters, cannot be run again within a minute. The button reads Run again in a countdown (for example 0:42) and stays greyed out, with a link beside it to show the earlier run, which already has your answer. Change any setting and it runs at once.
Recent reports
Recent reports lists every run with when it was requested, the report, its Status and its options. Reports you run stay here for 30 days, then they are cleared. Run it again if you need it later.
Click a row to expand it. You see the filters it used, its headline numbers, and "As of" with the time, in your studio's time zone.
Downloading
A Ready report offers three downloads:
- CSV — all rows, for any spreadsheet.
- Excel — a spreadsheet file with all rows.
- PDF — opens your browser's print dialog; choose Save as PDF. A PDF holds the first 5,000 rows, so use CSV or Excel for a bigger report.
Results are shown as downloads, not as a table on the page.
Reading the numbers
- Booked value is not revenue. It is the price each appointment had when it was booked, for appointments that were not cancelled. It is not money received. For lost appointments, the value is the price at booking each one had.
- Dates and times use your studio's time zone, wherever you are logged in from.
- Services are shown as booked. Rename or delete a service later and past reports keep the name it was booked under.
